This Privacy Policy explains how ExcelTax (“ExcelTax,” “we,” “us” or “our”) collects, uses, shares and protects personal information when you visit our website, request an appointment, communicate with us, or use our tax preparation, bookkeeping and planning services (the “Services”). By using the Services, you agree to the practices described here.
Information we collect
Information you give us
- Contact details — your name, email address, phone number and mailing address.
- Appointment and inquiry details — the service you need, your preferred date and time, and any notes you send us.
- Tax and financial information — income, expenses, business and entity details, prior returns, notices from tax agencies, and documents you upload or send to us.
- Communication preferences — including whether you have agreed to receive text messages, along with a record of that consent.
Information collected automatically
When you use our website we receive technical information such as your IP address, browser and device type, pages viewed and the time of your visit. When you submit a form that includes a text-message opt-in, we record the date and time, the wording you agreed to, your IP address and your browser's user-agent string as evidence of consent.
Payment information
Payments are handled by third-party payment processors. We do not store full card numbers on our systems.
How we use your information
- To provide the Services, including preparing returns, keeping books, calculating estimates and planning.
- To schedule and confirm appointments and respond to your questions.
- To send service messages such as filing status, deadline reminders and requests for documents.
- To send marketing messages where you have agreed to receive them. You can opt out at any time.
- To bill for the Services and keep business records.
- To secure our systems, prevent fraud and meet our legal and regulatory obligations.
- To understand how our website is used and improve it.
Tax return information
As a tax return preparer, we are subject to Internal Revenue Code section 7216 and its regulations. We use and disclose information you provide for preparing your return only as those rules allow — generally to prepare your return and provide related Services, or with your separate written consent.
How we share information
We do not sell your personal information. We share it only as described below:
- Service providers who help us operate — for example tax and accounting software, secure document storage, email and text-message delivery, website hosting and payment processing. They may use your information only to perform services for us.
- Independent partner CPAs, when you ask us to refer you for audit or IRS representation. Your CPA handles your information under their own engagement with you.
- Tax authorities, when we file returns or respond to notices on your behalf at your direction.
- Legal and safety reasons — to comply with law or valid legal process, or to protect the rights, property or safety of our clients, our business or others.
- Business transfers — as part of a merger, acquisition or sale of assets, subject to this policy.
Text messages
If you opt in to text messages, we use your mobile number to send the messages you agreed to receive. We do not share your mobile number or text-message opt-in data and consent with third parties or affiliates for their marketing or promotional purposes. Service providers that deliver our messages may process your number only to send them. Reply STOP to [SMS NUMBER] at any time to opt out. See our SMS Terms for details.

Our website uses cookies and similar technologies to keep the site working, remember preferences and understand how visitors use it. You can block or delete cookies in your browser settings; some features may not work as a result.
How we protect information
We use administrative, technical and physical safeguards designed to protect your information, including encryption in transit, access controls and limiting access to people who need it to provide the Services. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
How long we keep information
We keep personal information for as long as needed to provide the Services and to meet legal, tax, audit and record-keeping obligations, then delete or de-identify it. Tax records are generally kept for at least the periods described in our record retention guide.
Your choices and rights
Depending on where you live, you may have the right to access, correct or delete personal information we hold about you, or to receive a copy of it. You can also opt out of marketing emails using the unsubscribe link, and out of text messages by replying STOP. To make a request, contact us using the details below. We may need to verify your identity, and we may keep information we are legally required to retain.
